Buy office furniture for a whole team from a commercial dealer that can plan the layout and source across many manufacturers, then deliver and install the full order. Use the checklist below on every seller you're comparing, including us.

Furnishing a full office means buying six or eight matched workstations at once. They have to arrive together and hold up under daily use. You'll also want the same pieces available when you hire again in the spring, so it pays to judge the store before the products.

Plan the Space Before You Shop

Measure the room first. Mark door swings, outlets, and walkways on a floor plan, and you'll see how many desks fit and where the filing cabinets can go. A vague budget then becomes a real quantity list.

Build accessibility into the plan from day one. A workspace that has to accommodate a disabled employee needs clearance and approach angles designed in, and discovering a problem on delivery day can mean reordering. Our guide to how to arrange office furniture covers the walkway widths and clearances worth marking.

Use Certification as a Purchasing Filter

When the same people spend eight hours a day at the same desks, certification tells you more than a product description can. ANSI/BIFMA standards cover structural durability and stability under commercial load. Greenguard certification covers chemical emissions, which matters in an open floor plan where people sit close together. Filter on those two marks and most of the quality question is settled.

Check certification item by item. It's listed on each product page, and a brand that certifies its desks may not certify its accessories. Look for both marks on every piece before you treat it as certified furniture.

Where to Buy Office Furniture: Your Four Options

Most buyers end up choosing between four kinds of sellers, and each one suits a different size of order.

Where you buy Works well for What it costs you
Consumer retail One desk for a home office or a spare bedroom Designed for residential duty cycles, which eight desks in constant use will exceed. Product lines also change often, so matching later is hard.
Premium contract brands Offices with the budget for a full buildout Excellent quality at a matching price. A small office can rarely furnish every seat this way.
Used and liquidator warehouses Filling a few seats quickly on a tight budget Mismatched finishes and wear history nobody can verify. Warranties are thin or absent, and there's no way to order the same desk again.
Commercial dealer Furnishing a whole office, or adding to one over time You'll need a plan and some lead time. Freight deliveries need someone on site to receive them.

At that scale, reordering is the deciding factor. Used furniture can deliver real savings on the first order, but it can't help when headcount grows, and the new desk has to match the old ones.

Compare Quotes on Landed Cost

The price on the product page is only part of what you'll pay. Landed cost adds freight to your building, inside delivery if you need it, and assembly or installation. A cheaper desk that arrives in boxes your team has to build on a Saturday can end up costing more.

Ask each seller to quote the same items the same way, in writing. Then weigh lead time alongside price, because a quote that lands three weeks after your move-in date doesn't save you anything. If you're relocating, our office move checklist shows where furniture orders fit in the timeline.

Why Buy From NextGen Furniture

We built our business around the gap in that table. Every piece we sell is brand new and can be reordered, and we handle the planning and delivery a whole office needs.

We hold partnerships with over 100 furniture manufacturers. When a room needs a specific desk footprint or filing system, we source it from whichever line makes it. Desk chairs are best chosen for the people sitting in them, and we'll help you pick from across those lines.

Our Napa office line is the one we'd recommend to a first-time buyer. Its desks and storage pieces comply with ANSI/BIFMA standards and are Greenguard certified. The desks have 1-1/8" thick tops and single-key locking. Inside, you get precision drawer slides and matching drawer interiors. Most of the line ships flat and ready to assemble, though pedestals, lateral files, and some cabinets arrive assembled. See the full range of certified desks, returns, and credenzas, along with filing cabinets and storage cabinets built to match the desks.

Because we furnish schools and churches as well as offices, we've heard most of the questions buyers don't think to ask. Choose a credenza over a second filing cabinet when someone needs files within reach and a surface behind the desk for a printer. At a shared workstation the edges take the most wear, so check for thick PVC edge banding. If you're buying a single desk instead, our guide on where to buy an office desk covers choosing by shape.

Delivery and Installation

Contract furniture ships by LTL freight, so plan the receiving end before you order. Check whether your building has a dock or whether the driver will stop at the curb, and who'll be on site to sign.

When the truck arrives, count the boxes and look for damage before signing. Write any damage on the delivery receipt and take photos. A clean signature makes a freight claim harder to win.

We offer white-glove installation if you'd rather not hand your team a box of hardware.

After the Sale: Reorders and Your Account

A whole-office purchase is rarely one transaction, so create an account with the store you buy from. You can track order history, check shipping status on an open delivery, and reorder the exact desks, chairs, or cabinets you already have when headcount changes. It's one of the many benefits of buying new, and it matters most when the ninth desk has to match the first eight.
